Enhancing Access Governance and Administrative Efficiency

This month’s updates feature File Governance, Tracked Apps and new integrations, giving IT teams centralized visibility and greater control in managing their access governance.

New Feature Releases

File Governance

We’re excited to introduce File Governance on Josys. This capability is now available for Box, with Google Drive support arriving soon.

IT admins can now gain centralized visibility into externally shared files/folders, to quickly spot data exposure risks by filtering for “Unrestricted” or external users, reviewing file details and revoking access directly from Josys. To keep your workflow focused, mark reviewed items as “safe” so they’re removed from the “Externally Shared” list, allowing your team to concentrate only on new or unreviewed risks.

Capabilities:

• Centralized File & Folder View: View all files and folders from your integrated Box account in one unified list.
• Advanced Search & Filtering: Search, sort, and filter the file list by owner, name, folder path, sharing status, and last modified date.
• External and Public Sharing Identification: A dedicated filter surfaces all files shared outside your organization, helping you quickly identify high-risk items.
• 'Mark as Safe' Function: After reviewing a file, mark it as “safe” to reduce noise and focus on unevaluated risks.

Access Remediation: Within the File detail view, you can apply quick filters (e.g., "Externally shared users") and directly remove or edit access permissions for external users.

Feature Enhancements

Manage Every App Seamlessly: Integrated or Not

Previously, only Integrated Apps in Josys offered complete management of user roles, licenses, and shadow users. Users can now manage even the non-integrable apps for all these use cases within the Josys platform. These are listed as 'Tracked Apps' within the 'Managed Apps' tab.

• Role & License Fields: Admins can now manage Roles and Licenses for app accounts via the UI or bulk import/export.
• Shadow User Visibility: Shadow users are now detected and surfaced just like with Integrated Apps.‍
• Flexible Start Date: start date is now optional, making it easier to add users without historical data.
